Invite External User to Calendar via Outlook


1. Open Outlook and go to the calendar tab

2. Find your user calendar, right click and select sharing permissions

 3. Put the email address for the user in the bottom field that you want to share with and press OK

4. Select what permissions you want the recipient to have access to and then press OK

Note: the permissions given will change how much information is shown to the person who is receiving the calendar. If you select “Can view when I’m busy” the calendar will look like this:

If you select “Can view titles and locations”, they can see the title of the meeting as well as the location, which may include a link to a Zoom or Teams meeting. Such as:

If you select “View all details” the recipient can see the original invitation and all details associated with it, such as:

Remember to follow the rules of least privileges and only provide that access you believe is necessary.

 


5. The recipient will then receive an email to accept and view the calendar

6. After clicking the link, the user will be able to import the calendar into their Outlook

1. Go to the calendar tab in Outlook Web App

2. Go to My Calendars, right click the calendar you want to share and click sharing and permissions

 3. Type in the email address that you want to share the mailbox with

4. Select the email address from the drop down, select the permissions you want to send them, and press share
